How to export your data from HubSpot

HubSpot lets you export CRM records (contacts, companies, deals, tickets, custom objects, etc.) as CSV, XLS, or XLSX files from any list or board view, and lets Starter/Professional/Enterprise customers create full CRM data backups (a zip of CSVs, one per object) from Settings > Data Management > Backup & Restore.

Step by step

  1. 1Go to CRM in the top nav (via 'More' if it's not visible) and open the object you want, e.g. Contacts, Companies, Deals, or Tickets
  2. 2Open the view containing the records to export (e.g. the 'All contacts' list view, or a pipeline board view) — export pulls only the records in that view
  3. 3In list view click Export in the top right of the table; in board view click Board options > Export view
  4. 4In the dialog, pick a File format (CSV, XLS, or XLSX) and enter a name for the export
  5. 5Choose a language for the column headers, then optionally click Customize to control which properties and associations are included (by default only the properties/associations shown in the view are exported, capped at 1,000 associated record IDs per association column)
  6. 6Click Export — HubSpot emails you a download link once the file finishes processing; the link expires after 30 days
  7. 7For a single full CRM backup instead of per-object exports: go to the settings icon > Data Management > Backup & Restore > Create manual backup > Create backup, wait for the completion notification, then download the resulting zip within 14 days

What the export includes

  • Record exports: current property values and associated record IDs/names for the object and view you exported
  • CRM data backups: contacts, companies, deals, tickets, custom objects, products, calls, conversations, and tasks, each as a separate CSV inside one zip file
  • Account-level items exportable elsewhere in HubSpot: users, account activity history, export audit logs, workflows (as spreadsheets or PNGs), forms, marketing emails, reports/dashboards, invoices, quotes, and website/blog content

What it doesn't include

  • CRM data backups do not include associations or activity/engagement data
  • Record exports only include associated records up to 1,000 IDs per association column unless you switch to 'All associated records' (CSV only)
  • Inbox/conversation (chat, live chat) history isn't exportable from the UI — HubSpot points you to the Conversations API or manual copy/print-to-PDF
  • Workflow exports don't include performance history or the emails used inside the workflow
  • There's no built-in way to merge or migrate all data directly between two HubSpot accounts — you export then re-import/recreate in the destination

Before you start

  • Record export download links expire after 30 days; backup download links expire after 14 days
  • You can run up to 300 exports in a rolling 24-hour window and only 3 at once — extra exports queue
  • Large exports (over 1,000,000 rows for CSV/XLSX, over 65,535 rows for XLS) are split into multiple files inside a zip and can take a few hours
  • CSV exports over 2MB are automatically zipped; XLS is capped at 256 columns and XLSX at 16,384 columns — extra columns are silently dropped, so use CSV for very wide exports
  • Recurring/scheduled backups (weekly or biweekly) require an Enterprise subscription; Starter/Professional only get on-demand manual backups once a week, Enterprise once every 24 hours
  • If a property stores 'Sensitive Data,' those values are included unencrypted in the backup file, so store it securely
  • Exporting all contacts includes unsubscribed contacts by default — filter on 'Unsubscribed from all email is not equal to True' to exclude them
  • Your export history is kept in an export log for 3 years, then automatically removed

Can I export my HubSpot data on the free CRM plan?+

Yes. Record exports (contacts, companies, deals, tickets, etc.) are available on any HubSpot plan, including free. Full automated CRM data backups require at least a Starter/Professional subscription.

What file formats does HubSpot export to?+

Record exports can be downloaded as CSV, XLS, or XLSX. Full CRM backups are delivered as a single zip file containing one CSV per object.

How do I get a full backup of everything in my HubSpot CRM at once?+
