How to export your data from Acuity Scheduling

Acuity Scheduling lets you export appointments and your client list as separate .csv spreadsheets from the Reports and Clients panels, and lets you download a one-time .ics file of all appointments for use in an outside calendar. There is no single full-account export; appointments, clients, and orders (packages/gift certificates/subscriptions) are each exported separately.

Formats: CSV, ICSPlan: Any Acuity plan (export options are account features, not plan-gated in Acuity's documentation)Role: Account Owner or Admin (Scheduling Administrator on Squarespace accounts); staff with View Only or View & Edit access can also export if explicitly granted export permission

Step by step

  1. 1Appointments: In Acuity, click Reports, then click Import/Export.
  2. 2Select the date range of appointments to export, choose whether to include canceled appointments, and pick any intake forms to include (selecting a form limits the export to appointments with that form attached).
  3. 3Click Export appointments to download a .csv file.
  4. 4Clients: In Acuity, click Clients, then click Import/export, then Export client list.
  5. 5Use the drop-down to choose which clients to export (All clients, or groups based on how recently they booked), then click Export clients.
  6. 6Orders (packages, gift certificates, subscriptions): In Acuity, click Packages, Gifts & Subscriptions, then View Orders, then Export All.
  7. 7Calendar events (optional, for migrating to another calendar): click Sync with Other Calendars, then 1-way Calendar Sync, then click the link at the bottom of the page to download a one-time .ics file of all appointments.

What the export includes

  • ✓Appointments export: start/end time and date, time zone, client first/last name, phone, email, appointment type, calendar, price, payment status and amount paid online, discount codes used, notes, date scheduled, label, who scheduled it, appointment ID, and (if selected) intake form question answers
  • ✓Clients export: client name, email, phone number, notes on the client file, and days since last appointment
  • ✓Orders export: order date, first/last name, phone, email, order total, payment status, notes, and products included in the order
  • ✓One-time .ics file of all existing Acuity appointments for import into an external calendar

What it doesn't include

  • ✗Orders export excludes codes generated with the Add Code button or via the API, and only lists the first payment of a subscription
  • ✗No bundled full-account/JSON export covering settings, availability rules, booking page design, forms configuration, or integrations
  • ✗Appointment types, calendars, and staff/service configuration are not included in the CSV exports
  • ✗Client export excludes appointment history details beyond the 'days since last appointment' summary

Before you start

  • ⚠Exports are done per data type (appointments, clients, orders) — there is no one-click full backup
  • ⚠Including an intake form in the appointments export restricts the file to only appointments with that form attached
  • ⚠Days since last appointment is left blank for clients with an upcoming appointment, a very recent (under 24h) appointment, or no appointment history
  • ⚠The one-time .ics export only captures appointments that exist at the moment you click the link; it does not update afterward
  • ⚠Enterprise accounts export appointments differently, via the organization dashboard's Reporting tab and Create Report flow, selecting specific scheduling instances and a date range

Where to take your data

Free and cheaper tools that can take a Acuity Scheduling export. See all Acuity Scheduling alternatives →

Calendly Free

Calendly's free plan doesn't bulk-import historical appointments or client lists; use the exported client CSV to re-add your contact list to your CRM/email tool, and recreate recurring event types manually in Calendly.

Cal.com has no native Acuity CSV importer; use the exported appointments/clients CSVs as a reference to rebuild event types and booking pages, and re-import contacts into whatever CRM you connect to Cal.com.

TidyCal

TidyCal does not support direct CSV import of past bookings; use the Acuity client list export to manually re-add contacts and recreate your booking types in TidyCal.

Exporting from Acuity Scheduling: common questions

Can I export my entire Acuity account in one file?+

No. Acuity's documentation describes separate exports for appointments, clients, and orders (packages/gift certificates/subscriptions) — there is no single combined export.

What file format does Acuity export data in?+

Appointments, client lists, and orders export as .csv spreadsheets. You can also download a one-time .ics file of all appointments for use in another calendar app.

Does the client export include full appointment history?+

No. The client export includes name, email, phone, notes, and days since last appointment — not a full history of every appointment per client. For that, use the separate appointments export.

Can my staff export data, or only the account owner?+

Account owners and Admin/Scheduling Administrator staff can export. Staff with View Only or View & Edit access can also export appointments or clients, but only if you've explicitly granted them that permission.

Will the export include payment or invoice details?+

The appointments export includes price, payment status, and amount paid online. A separate orders export (from Packages, Gifts & Subscriptions > View Orders) covers order totals and payment status for packages, gift certificates, and subscriptions.

Can I migrate my Acuity calendar events directly into another scheduling tool?+

Acuity doesn't offer a direct migration tool. You can download a one-time .ics file of your existing appointments via Sync with Other Calendars > 1-way Calendar Sync to bring events into an external calendar, but recurring booking setup (event types, availability) must be rebuilt manually in the new tool.
