How to export your data from Zoom
Zoom splits data export into three separate flows: an account-wide Data & Privacy request (personal/meeting/webinar/whiteboard metadata, as a ZIP), individual cloud recording downloads (video/audio/chat text, MP4/M4A/VTT/TXT files, one recording at a time) from Recording Management, and a Chat History report export (CSV or HTML with attachments) for Zoom Chat messages.

Step by step
- 1For account/meeting metadata: sign in to the Zoom web portal, click Advanced, then Data & Privacy, then the Data requests tab.
- 2Under Data subject requests, click Export data, enter user email addresses (comma-separated or via CSV upload, up to 50 at once) and select a date range, then click Request data.
- 3Wait for the email notification (Zoom says a download link is sent within 30 days); go back to the Request history tab and click Download to get the ZIP (link expires after 90 days).
- 4For cloud recordings: sign in to the Zoom web portal and go to Recordings & Transcripts (or Account Management > Recording and Transcript Management as an admin for all users' recordings).
- 5Search or filter for the meeting, click the recording thumbnail to open it, then click Download and confirm — recordings must be downloaded one at a time; use Export as CSV file from the recording list to get a CSV of recording metadata (host, meeting ID, topic, date, file size) in bulk.
- 6For Zoom Chat history: sign in as owner/admin, click your profile icon then Admin Center, click Reports, then User activity reports, then Chat history.
- 7On the Search History tab, set a date range (up to 30 days, or up to 1 year when searching a specific user), search by user/keyword or by channel, then click Search.
- 8Click Download on a specific conversation (CSV for text only, or HTML to include attachments) or Download All to ZIP every thread in the results; retrieve the file from the Downloads tab within 30 days (ZIPs are password-protected).
What the export includes
- ✓Personal data collected via Zoom Meetings, Webinars, Chat, and Whiteboard (Data & Privacy export)
- ✓Cloud recording video/audio files, plus chat text and transcripts recorded during the meeting
- ✓Chat messages, files, images, emoji reactions, GIFs, audio messages, and code snippets from Zoom Chat (Chat History report)
- ✓A CSV list of cloud recordings with host email, meeting ID, topic, date, and file size
What it doesn't include
- ✗Security data such as passwords and encryption keys (explicitly excluded from Data & Privacy exports)
- ✗Bulk one-click download of all cloud recordings — Zoom requires downloading each recording individually from the web portal
- ✗Files sent through Zoom Chat larger than 50 MB, and any additional chat files once a generated export passes 1 GB
- ✗Account/meeting settings configuration (there is no built-in settings export; admins have to document these manually)
- ✗Computer (local) recordings from other users' machines — these live only in each user's local Zoom folder, not the cloud
Before you start
- ⚠Data & Privacy export and delete requests can target at most 50 users per request
- ⚠The Data & Privacy export ZIP link is emailed within 30 days of the request and expires 90 days after generation, after which you must submit a new request
- ⚠Chat History CSV exports are capped at 50 million messages and HTML exports at 1 million messages
- ⚠Chat History date-range searches are limited to 30 days when searching by user/keyword across multiple users, or up to 1 year for a single specific user
- ⚠Chat History Download All ZIPs are password-protected; the password is shown in the Downloads tab and files are deleted from there after 30 days
- ⚠Deleted cloud recordings sit in the web portal trash for 30 days before permanent deletion, and deleted data from a Data & Privacy delete request cannot be recovered once processed
- ⚠Cloud recordings require a Pro, Business, or Enterprise plan and that you were the host (or a delegate with scheduling privileges) — Free plan users only get local computer recordings
Where to take your data
Free and cheaper tools that can take a Zoom export. See all Zoom alternatives →
Google Meet
Google Meet recordings save directly to the organizer's Google Drive as MP4; there's no dedicated Zoom-recording importer, so you'd manually upload the downloaded Zoom MP4/M4A files and chat CSV/HTML/TXT files into Drive or a shared folder for reference.
Jitsi Meet
Jitsi Meet has no user/chat-history import feature; treat the downloaded Zoom recordings and Chat History CSV/HTML files as an archive and store them separately (e.g., Drive, NAS) since Jitsi does not retain historical account data.
Zoom Free
If downgrading to Zoom's Basic (free) plan, run the cloud recording and Chat History exports first — Basic accounts cannot start cloud recordings or access the Chat History report, so any recordings/chat archives already in the cloud should be downloaded before or immediately after the plan change.
Exporting from Zoom: common questions
Can I download all my Zoom cloud recordings at once?+
No. Zoom's Recording Management only supports downloading one recording at a time by opening it and clicking Download; you can, however, export a CSV list of all recordings (host, meeting ID, topic, date, file size) to keep track of what needs downloading.
How long does a Zoom Data & Privacy export take?+
Zoom says a link to the requested export is emailed within 30 days of submitting the request, and the resulting ZIP download link expires 90 days after it's generated.
Can regular users export their own data, or only admins?+
Account owners/admins can enable a setting that lets users request and download their own Data & Privacy export; users can always view/download their own cloud recordings and, if permitted, view chat history, but full-account exports and deletions require owner/admin access.
What happens to chat history if I switch to Zoom's free plan?+
The Chat History report requires a Pro, Business, Education, or Enterprise plan with chat cloud storage enabled, so you should run your chat export before downgrading, since Basic accounts don't have access to that report.
Is there a size or message limit on chat exports?+
Yes — CSV chat exports cap out at 50 million messages, HTML exports cap at 1 million messages, and any chat files over 50 MB (or once the export exceeds 1 GB total) are excluded.
Does the Zoom export include account settings like meeting/recording configurations?+
No. Zoom's official Data & Privacy, recording, and chat export tools cover meeting/webinar/chat/whiteboard user data and recordings — they don't produce a settings export, so admins have to document account configuration manually.
