How to export your data from Yardi

Yardi (Breeze/Breeze Premier) has no single 'export all data' button. You pull your property, tenant, lease and accounting data out report-by-report to Excel or PDF using standard reports, or, on Breeze Premier, build custom 'ad hoc' reports; anything more complex requires a paid, Yardi-built custom report (YSR).

Step by step

1Log in to Yardi Breeze or Breeze Premier and open the Reports module.
2For each data type you need (rent roll, tenant ledger, lease details, general ledger, vendor/AP data, etc.), open the corresponding standard report, set your date range and filters, run it, then export the result to Excel or PDF.
3If you're on Breeze Premier and need a custom cut of data, use Ad hoc Reporting: pick one data point such as properties or tenants, choose the fields and filters you want, then export the report to screen, Excel or PDF.
4Repeat the ad hoc report process separately for each data point (properties, tenants, leases, GL, etc.) since a single ad hoc report only covers one data point at a time.
5If you need a multi-data-point or heavily formatted export that ad hoc reporting can't produce, submit a request for a Yardi Scripted Report (YSR); this is built by Yardi's programming team for an additional fee and exports only to Excel or PDF.
6Download and archive each exported file locally before you plan to cancel, since Yardi does not provide a bundled account-wide export.
7Separately download any attached documents (leases, insurance certificates, images) from Document Management, as these are not included in report exports.
8Confirm every report you need has been exported before closing your account — under Yardi's Terms of Use, preserving your own data is your responsibility, not Yardi's.

Before you start

⚠There is no async 'we'll email you a zip file' export job like typical SaaS tools — exports are generated live, report by report
⚠Ad hoc reports only handle one data point per report, so exporting a full dataset means running and exporting many reports
⚠A custom YSR costs extra and can take about two to four months to build, so it's not a viable option for a fast migration
⚠Under the Breeze/Breeze Premier Terms of Use, you are solely responsible for preserving any data you need, including for legal or subpoena purposes — Yardi does not guarantee retention for you
⚠Report/export permissions are set per user by your account admin, so some team members may not see all report options

Exporting from Yardi: common questions

Can I export all my Yardi data at once?+

No. Yardi does not offer a single account-wide export. You export data through individual standard reports, and, on Breeze Premier, through ad hoc reports covering one data point at a time.

Does exporting data from Yardi cost anything?+

Standard reports and Breeze Premier's ad hoc reports are free to run and export. Custom Yardi Scripted Reports (YSRs), needed for more complex exports, are a paid, Yardi-built service.

What file formats can I export to?+

Reports and ad hoc reports export to Excel or PDF, or can be viewed on screen. There is no native CSV or JSON export option documented for Breeze/Breeze Premier reports.

Do I need Breeze Premier to get my data out?+

No, standard report exports are available on any plan. But the self-service Ad hoc Reporting tool for building custom exports is only available on Breeze Premier.

What happens to my data if I cancel my Yardi account?+

Yardi's Terms of Use make you responsible for preserving any data you need before cancelling; Yardi does not commit to retaining or exporting it for you afterward.

Can I import my Yardi exports directly into another property management tool?+

Not automatically. You'll need to reformat your Yardi Excel/PDF report exports into the CSV templates required by the destination platform (e.g., Buildium, AppFolio, or Rentec Direct).
