How to export your data from RingCentral
RingCentral's built-in export tool lets a Super Admin request a bulk download of team messaging data (chats, calendar events, shared file links, tasks, notes, members, guests) for up to 180 days at a time; the data arrives as a ZIP file containing JSON files. Call logs and voice/fax data are not part of this export and must be pulled separately via the RingCentral API (JSON only).

Step by step
- 1Log in as a Super Admin and click Settings in the navigation bar.
- 2Go to Administration > Messaging in the left panel.
- 3Scroll to the 'Message data export' section and turn on the 'Enable message data export' toggle.
- 4Click Request next to 'Request export'.
- 5In the Request export window, choose the Type of data: All conversations, Selected users (up to 10), or Selected teams (up to 10).
- 6Pick a date range: Last 7 days, Last 30 days, Last 90 days, or a Custom range (up to 180 days).
- 7Click Request, then wait for the job to finish processing under Export history.
- 8Click the Download icon next to the completed export to get a ZIP file, then unzip it to access the JSON folders.
What the export includes
- ✓Conversation history for direct, group, and team chats (Posts folder)
- ✓Calendar events
- ✓Shared file links (Files folder — links to attachments, not the files themselves)
- ✓Task details (Tasks folder)
- ✓Notes posted in conversations
- ✓List of all members (Members folder) and guest users (Guests folder)

What it doesn't include
- ✗Actual file attachments — only links are exported; opening them to view the real files requires admin/super admin access
- ✗Call logs, call recordings, voicemail, or fax — these are not part of the message data export and require the separate RingCentral API (JSON only, no native CSV)
- ✗Anything outside the selected date range (max 180 days per request) or outside the 10 selected users/teams if you don't choose 'All conversations'
Before you start
- ⚠You must be a Super Admin just to turn on the export toggle before anyone can request an export
- ⚠A single export request covers at most 180 days of data (custom range), or preset windows of 7/30/90 days
- ⚠Selecting 'Selected users' or 'Selected teams' caps you at 10 users or 10 teams per request
- ⚠There's a processing delay before a requested export shows up in Export history — wait time scales with how much data is being exported
- ⚠Exported file links in the 'Files' folder are not the attachments themselves — only admins/super admins can open them to view the real files
- ⚠Call/voice data isn't covered by this tool at all; exporting call logs means using the RingCentral API, which only returns JSON (no built-in CSV)

Google Voice
Google Voice has no bulk importer for RingCentral team-chat JSON or call history. Use the ZIP export as a compliance/archive record, re-add your numbers and users manually in Google Voice, and recreate any saved contacts via CSV contact import where supported.
OpenPhone
OpenPhone doesn't import RingCentral chat/message JSON directly. Import your contact list via OpenPhone's CSV contact importer, and keep the RingCentral export ZIP as an offline archive for old conversation history and compliance needs.
Zoom Phone
Zoom Phone has no native import for RingCentral's message export; it's primarily a voice replacement. Port your numbers, recreate users/extensions in Zoom Phone, and retain the RingCentral export ZIP separately for historical chat/message records.
Exporting from RingCentral: common questions
Can I export my RingCentral call logs, not just messages?+
The in-app message data export only covers chats, calendar events, file links, tasks, notes, and members/guests. Call logs aren't included — you'd need to pull them via the RingCentral API, which returns call data in JSON format only.
Do I need a specific RingCentral plan to export data?+
The documented message data export feature is a RingEX admin setting, not described as tied to a specific plan tier — but you do need Super Admin privileges to turn it on.
What file format do I get when I export RingCentral message data?+
You download a ZIP file. Inside it, data is organized into folders (Chats, Files, Guests, Members, Notes, Posts, Tasks), each containing individual JSON files, plus a request_info.json describing your export criteria.
Is there a limit on how much history I can export at once?+
Yes. Each export request covers a maximum of 180 days (if using a custom date range), or you can choose preset windows of the last 7, 30, or 90 days. You'll need multiple requests to cover a longer history.
Does the export include the actual files people shared in chat?+
No. The Files folder in the export only contains links to the attachments, not the attachments themselves, and only admins or super admins can open those links to view the real files.
Can I export only specific users' or teams' conversations?+
