How to export your data from Pipedrive

Pipedrive lets you export deals, leads, people, organizations, products, activities, notes, files, data field setups and user data as XLSX or CSV files, either through the dedicated Export data tool, filtered list views, individual deal detail views, or the API.

Step by step

  1. 1Open the account menu in the top right corner and go to Tools and apps > Export data.
  2. 2Select the data type you want to export (Leads, Deals, Organizations, People, Products, Activities, Projects, Notes or Files).
  3. 3Apply any available filters for that data type, e.g. archive status for leads/projects, or deal creation/won date for participant or product exports.
  4. 4Choose the file format, Excel or CSV, then click Export.
  5. 5Wait for the file to appear in the Generated exports list, then click the cloud icon in the Available until column to download it.
  6. 6For a customized cross-object export, open a list view (deals, leads, projects, contacts or organizations), apply a filter, pick columns with the gear icon, then use the "..." menu and select Export filter results.
  7. 7To export a single deal, open its detail view and select "..." > Export as XLSX.
  8. 8To export your field configuration, go to Personal preferences > Data fields, click the export icon and choose to export the field setup or the selectable options.

What the export includes

  • Default, custom and system fields for the exported item type, plus ownership information and linked records
  • Linked organizations and contact people on leads, deals, activities, notes and files
  • Notes exported in HTML or plain text format
  • Files metadata, based on the date they were added
  • User data (name, email, last login time, permission sets and visibility groups) via Manage users > Users and access
  • Insights charts (PDF/PNG) and Insights table data (XLSX/CSV) with applied filters

What it doesn't include

  • Activities, notes and files linked to deals and contacts are not included automatically in a deal/contact export and must be exported separately
  • Files stored in Google Drive are not exported during a global export
  • Data outside your visibility group or item-level visibility, even if you have export permissions
  • Projects data, unless you're on Premium or higher or have the Projects add-on

Before you start

  • Only global admins and users with the correct permission set can export data by data type in the Export data section
  • Generated export files are only available for 28 days before they expire
  • The download link for global exports can only be used by admin users
  • List view and Insights table exports prompt an immediate download; if you close that window, retrieve the file later from Tools and apps > Export data > Generated exports
  • Deal detail view exports are limited to XLSX format only
  • For automated, scheduled or field-selective exports, you need to use the Pipedrive API with an API token instead of the UI export tools

Exporting from Pipedrive: common questions

Can any Pipedrive user export data, or only admins?+

Only global admins and regular users with the correct permission set enabled can export data by data type. Even with export permissions, a user can only export data visible to them based on their visibility group or item visibility.

What file formats does Pipedrive export to?+

How long do I have to download my exported files?+
