How to export your data from Outreach

Outreach lets any user export Prospects, Accounts, Opportunities, Calls, Tasks, Sequence States, Users, and Emails as CSV files via list-view "Export" actions, plus a separate Admin-only one-off request for a full compressed JSON dump of the entire instance (all tables).

Step by step

  1. 1For a quick CSV export: log in to Outreach, go to the relevant list (Prospects, Accounts, Opportunities, Activity > Calls, Activity > Tasks, Activity > Sequence states, or Activity > Email outbox), select the records you want
  2. 2Click More Actions (or Export calls / Export tasks etc. depending on the list), then click Export
  3. 3Choose Download Now for 200 or fewer records (downloads a CSV directly to the browser) or Email CSV for larger batches, then click Export again to confirm
  4. 4For bulk pulls, filter the list first — filtered exports are capped at 100,000 records, so filter by Owner or similar if you exceed that
  5. 5Check Administration > System Activity > Exports to see export history and download links (Admins see everyone's exports; other users see only their own)
  6. 6For a complete raw data dump instead of individual CSVs: log in to the Outreach Support Portal as an Admin and submit a support ticket with Issue Type = Support Requests, Subject = One-off Data Export Request, Product Area = Admin, Security & Data Management
  7. 7In the ticket description, list the exact objects/fields you need (e.g. sequences, sequence_steps, sequence_states, prospects, accounts) — Outreach can extract dozens of raw tables (accounts, prospects, sequences, sequence_states, calls, tasks, users, templates, etc.)
  8. 8Wait for Outreach to prepare the export (approximately 1 month turnaround) and download the compressed JSON file from the one-time link within 12 hours before it expires

What the export includes

  • ✓Prospects, Accounts, Opportunities records with their fields
  • ✓Calls, Tasks, Email outbox/mailings, Sequence States (activity data)
  • ✓Users and roles/profiles (via User Management export)
  • ✓Sequence stats (prospects, replies, stats per sequence) via Content > Sequence exports
  • ✓In the full ad hoc export: raw tables such as prospects, accounts, sequences, sequence_steps, sequence_states, calls, tasks, users, mailings, templates, webhooks, and dozens of other underlying tables

What it doesn't include

  • ✗Templates and Snippets cannot be exported at all
  • ✗Field formatting cannot be altered/customized in exports
  • ✗No guarantee of compatibility with all third-party CSV-reading apps
  • ✗Users cannot cancel or delete an in-progress or completed export request
  • ✗Time zone in some exports (calls, mailings) is PDT/PST while most others are UTC — not customizable

Before you start

  • ⚠CSV export download links expire after 7 days; an expired export must be recreated from scratch
  • ⚠Exports over 200 records are handled asynchronously with no guaranteed completion time — speed depends on system resource availability
  • ⚠Filtered list exports are capped at 100,000 records; larger lists must be filtered down (Outreach recommends filtering by Owner)
  • ⚠The full ad hoc JSON export must be requested via a support ticket by an Admin and takes about 1 month to process
  • ⚠The one-time download link for the full JSON export is only valid for 12 hours after being issued
  • ⚠For former customers: Outreach instance data is deleted 60 days after the end of service, so a one-time export must be requested before that window closes

HubSpot CRM (Free)

Map exported Prospects/Accounts CSV columns to HubSpot Contacts/Companies fields and use HubSpot's CSV import tool; sequence/activity JSON data typically needs a script to reshape before import since HubSpot has no direct Outreach sequence import.

Airtable

Import the Prospects/Accounts/Opportunities CSVs directly as new tables, or write a small script to flatten the ad hoc JSON export's nested tables (prospects, sequence_states, etc.) into CSV before importing.

Google Sheets

Open CSV exports directly in Sheets for a free backup/archive, or use a JSON-to-Sheets script (e.g. Apps Script) to load the compressed JSON tables from the full ad hoc export.

Exporting from Outreach: common questions

Can any user export data from Outreach, or only Admins?+

Any Outreach User can run CSV exports from list views like Prospects, Accounts, and Tasks, though some views require admin-level governance permissions. Only Admins can request the full raw JSON data export and view all users' export history.

What format does Outreach data get exported in?+

In-app list exports (Prospects, Accounts, Calls, etc.) come out as CSV files. The full instance-wide ad hoc export is delivered as a compressed JSON file, separated by database table.

How long does a full data export from Outreach take?+

The one-off full JSON export requested via a support ticket has an approximate turnaround time of 1 month, and the resulting download link is only valid for 12 hours.

Is there a limit on how many records I can export at once?+

Yes. Download Now works for 200 records or fewer; the Email CSV option is for larger batches, but filtered lists (Prospects, Accounts, etc.) are capped at 100,000 records, so you may need to filter by Owner to stay under that limit.

Can I export Templates or Snippets from Outreach?+

No. Templates and Snippets cannot be exported at all, in either the CSV list exports or the full ad hoc JSON export.

What happens to my data if I've already left Outreach?+

Former customers can still request a one-time export of their data while it remains available, but Outreach deletes instance data 60 days after the conclusion of services, so the request needs to be submitted before that deadline.
