How to export your data from Notion

Notion lets you export individual pages/databases or your entire workspace as PDF, HTML, or Markdown & CSV, including uploaded files; a full workspace export is triggered from Settings and arrives as a downloadable zip via email within up to 30 hours.

Formats: PDF, HTML, Markdown & CSVPlan: Any plan for page-level exports; Business or Enterprise for 'Include subpages' on PDF exports and for Enterprise-specific admin controlsRole: Any member with Full access to the content for single-page exports; for the full workspace export, exporting must not be disabled by the workspace/teamspace owner in Settings → Security

Step by step

  1. 1Go to Settings in your sidebar, then under Workspace select General.
  2. 2Find and select 'Export all workspace content'.
  3. 3Notion emails you a link to download the export as a zip file; this can take up to 30 hours depending on workspace size, and the link expires after 7 days.
  4. 4For a single page or database instead, click the ••• icon at the top right of the page and choose Export.
  5. 5In the popup, pick a format (PDF, HTML, or Markdown & CSV) and toggle 'Include subpages' if you want nested pages included.
  6. 6Click Export and save the resulting file or zip to your computer.
  7. 7If exporting is greyed out, ask a workspace owner to go to Settings → Security and toggle off 'Disable export' (or a teamspace owner via Settings → Teamspaces → ••• → Security).

What the export includes

  • All pages the exporting user has access to, as HTML, Markdown, or CSV (for databases)
  • Uploaded files and images, saved in folders alongside the page files
  • A sitemap (index.html) linking to the exported pages for navigation
  • Comments at page and block level (resolved and unresolved) when exporting as HTML
  • Individual pages/databases can also be exported as PDF at any time

What it doesn't include

  • Private pages belonging to other users that the exporting account doesn't have access to
  • Form view of a database (export the underlying Table view instead)
  • Custom emojis in PDF exports
  • Workspace settings, integrations, automations, or member/permission configuration
  • A way to instantly reimport the export back into a workspace to recreate it exactly

Before you start

  • Full workspace exports can take up to 30 hours to process on large workspaces, and the download link expires after 7 days.
  • Only one workspace export flow at a time; for very large workspaces the button may error out, in which case Notion suggests exporting top-level pages individually as a workaround.
  • Workspace or teamspace owners can disable exporting entirely for members via the Security settings.
  • 'Include subpages' for PDF export is only available on Business/Enterprise plans, and the PDF option for full-workspace export is being phased out (rolling out through August 31, 2026) in favor of HTML/Markdown/CSV.
  • Exports only include content the exporting account can actually access — private pages of other members are skipped unless an Enterprise admin grants access via content search first.
  • There's no built-in scheduled/automatic backup; Enterprise workspaces can instead trigger exports via the admin API.

Where to take your data

Free and cheaper tools that can take a Notion export. See all Notion alternatives →

Export your workspace as HTML with subpages included, then use Obsidian's official Importer community plugin, selecting the 'Notion (.zip)' file format to convert the HTML export into your Obsidian vault.

Logseq

Export as Markdown & CSV, then open the resulting folder of .md files as a Logseq graph; database pages come through as CSV and need manual conversion into Logseq's outline/page format.

Notion Free

If you're just downsizing rather than leaving, you can keep using Notion's free plan directly with your existing content — no export/import needed, just adjust workspace members and paid features.

Exporting from Notion: common questions

How do I export my entire Notion workspace at once?+

Go to Settings → General → 'Export all workspace content', choose a format, and wait for the email with a download link; this can take up to 30 hours for large workspaces.

Can I export just one page or database instead of the whole workspace?+

Yes — click the ••• menu on any page, choose Export, pick PDF, HTML, or Markdown & CSV, and optionally include subpages.

Why don't I see the Export option?+

A workspace or teamspace owner may have disabled exporting under Settings → Security ('Disable export'), or you may lack Full access to the page/database as a guest.

What happens to private pages other members haven't shared with me?+

They're skipped by the exporter unless the exporting account has access; Enterprise admins can grant themselves access via content search first.

Does Notion support automatic or scheduled backups?+

Not natively — Notion's help center notes there's no scheduled backup feature, though Enterprise workspaces can trigger exports programmatically via the admin API.

Can I re-upload my export to recreate a workspace exactly?+

No — Notion's docs state you can't instantly recreate a workspace by reuploading exported content; the export is meant for backup/portability, not one-click restore.
