How to export your data from Grammarly Business

Grammarly Business doesn't have one central 'export all data' button. Admins/account managers export team and per-member usage analytics as CSV from the admin console, and Knowledge Share style-guide terms can be bulk-exported from their own page; actual written documents must be downloaded one at a time by each user from inside the Grammarly Editor, in the original file format (e.g., .docx) or as a document-stats PDF.

Step by step

  1. 1Sign in to the Grammarly admin console as an Admin or Account Manager.
  2. 2Go to Analytics > Team overview and click Export in the upper-right corner to download aggregated team usage/performance data as CSV.
  3. 3Go to Analytics > Member usage and click Export in the upper-right corner of the table to download per-member usage data as CSV.
  4. 4Go to the Knowledge Share page and click Export in the upper-right corner to bulk-download your organization's custom terminology/style-guide entries.
  5. 5For actual written documents, have each team member open their document in the Grammarly Editor, click the Menu icon (three horizontal lines) in the upper-left sidebar, and select Download - the file exports in its original uploaded format (or .docx).
  6. 6Repeat the document download step per file and per user; there is no admin-level bulk export of everyone's documents.
  7. 7Optionally, for a single document's writing stats, open Overall score and choose Download PDF Report.

What the export includes

  • Aggregated team writing/usage analytics (suggestions accepted/rejected, scores, activity by app such as Slack, Gmail, Google Docs, ChatGPT, etc.)
  • Per-member usage statistics
  • Knowledge Share custom terminology and style-guide entries
  • Individual documents' text and formatting, downloaded one file at a time in their original format
  • Per-document writing-statistics PDF report

What it doesn't include

  • A single bulk export of all team members' documents at once - each document must be downloaded individually by its owner
  • Domain/application breakdown data in the team overview export when using a custom date range
  • Analytics or Knowledge Share export access for users with the base 'user' role (export requires admin/account manager/group manager or a custom role)
  • Billing/invoice history, SSO/SAML configuration, or audit logs (not documented as part of any export)

Before you start

  • There is no single 'export my whole workspace' feature - analytics, Knowledge Share terms, and documents each have to be exported separately
  • Regular team members with the 'user' role cannot export team analytics; only admins, account managers, group managers, or Enterprise custom-role members can
  • For custom date ranges, the team overview export omits the domains/applications breakdown data
  • Assigning group manager permissions or creating custom export roles is an Enterprise-only capability
  • Documents can only be downloaded one at a time from inside the Editor, by the person who owns them

Can I export all of my team's Grammarly documents in one go?+

No. Grammarly Business has no admin-level bulk document export - each document has to be opened in the Editor and downloaded individually by whoever owns it.

What format is the analytics export in?+

Team overview and member usage analytics are downloaded as CSV files from the Export button in the top-right corner of each analytics page.

Who is allowed to export team analytics?+

Admins, account managers, and group managers can export analytics; on Enterprise plans, members with a custom role granting analytics permissions can too. The base 'user' role cannot export.
