How to export your data from Gong

Gong's self-serve export is a CSV report of call metadata and analytics (not recordings or transcripts), generated from a filtered call search and emailed to you. Any team member with the 'Export reports to CSV' permission can request it on any Gong plan.

Step by step

  1. 1Log into Gong and click Conversations in the left sidebar, then select Search.
  2. 2Apply filters (date range, team, deal, call type, etc.) to define the exact set of calls you want to export — the export only covers the calls currently matching your filters.
  3. 3Click the More actions icon at the top right of the Search Results panel.
  4. 4Select Download call data from the menu.
  5. 5Choose which data categories to include: CRM data, trackers data, topics data, call host manager hierarchy, and participant data.
  6. 6Click Send report via email.
  7. 7Wait for Gong to email you the CSV — larger filtered call sets take longer to generate.
  8. 8Repeat with different filters if you need to export additional call sets (e.g., by team, quarter, or deal stage), since one export covers only the current filtered results.

What the export includes

  • ✓Call title, date, time, language, duration, and word count
  • ✓Call status, conferencing provider, internal/external flag, direction, and disposition
  • ✓Host details and manager hierarchy
  • ✓Participant details and counts (invitees, attendees, speakers)
  • ✓Time spoken and questions asked, broken down by host/company/non-company participants
  • ✓Screenshare and conversation analytics (talk ratio, longest monologue, patience, interactivity scores)
  • ✓CRM lead, account, and deal data (up to 3 associations each) if selected
  • ✓Trackers, smart trackers, and topics mentioned, if selected
  • ✓A direct link back to the call in Gong
  • ✓Whether the call is marked private

What it doesn't include

  • ✗The actual call recording (audio/video file) — the CSV only contains a link back to the call in Gong, not the media itself
  • ✗The full call transcript text — not one of the exportable CSV columns
  • ✗Direct in-app download — the report is only delivered by email, not downloadable from within Gong
  • ✗Unfiltered, one-click full-account export — you must define a call set via Search filters first

Before you start

  • ⚠Requires the 'Export reports to CSV' permission; without it no report is generated
  • ⚠Report generation time depends on how many calls match your filters and how much data you include — large exports take longer
  • ⚠If the email doesn't arrive, Gong recommends checking your spam folder, confirming your filters actually returned results, and confirming your account has the export permission
  • ⚠Exporting call activity to Salesforce (as tasks/events) is a separate, ongoing sync feature — it also does not include the call transcript, and requires Tech admin access to configure
  • ⚠Historical calls are only synced to Salesforce if they fall within the configurable 'Salesforce activity update period,' so old data may not carry over automatically via that route

Open the CSV email attachment and import it directly into Sheets/Excel to keep a searchable, free archive of your historical call metadata and conversation analytics.

HubSpot CRM (Free)

Since the CSV includes CRM lead/account IDs and deal associations, match rows to existing HubSpot records and bulk-import the call data as notes or a custom object to keep activity history attached to deals.

Fireflies.ai

Fireflies has a free tier for call recording/transcription going forward. Note: because Gong's export doesn't include audio or transcript text, you can't migrate past recordings — only new calls captured in Fireflies will have transcripts.

Exporting from Gong: common questions

Can I export my actual call recordings from Gong?+

Not via the self-serve CSV export — it only includes a link back to the call inside Gong, not the audio/video file itself.

Can I export full call transcripts from Gong?+

No. The Download call data CSV does not include transcript text as a column, and Gong's Salesforce export explicitly states the call transcript is not exported there either.

Is data export available on Gong's lowest/free plan tier?+

The Download call data feature is listed as available on any Gong plan, but the person exporting needs the 'Export reports to CSV' permission, which an admin must grant.

How long does it take to get my exported data?+

There's no fixed time — Gong says it depends on the size of your filtered call set and emails you once the report is ready.

Can I export my entire call history in one click?+

No. You must first apply search filters to define a call set, then export that set — there's no single 'export everything' button, so exporting a full history may require several exports with different filters.

What's the difference between 'Download call data' and exporting to Salesforce?+

Download call data is a one-time CSV metadata report sent to your email. Exporting to Salesforce is an ongoing sync that pushes meeting/call activity into Salesforce as tasks or events, configured separately in Admin center > Settings > CRM.
