How to export your data from Expensify

Expensify's New Expensify app lets you export reports and expenses to CSV using built-in or custom export templates, download full reports as PDFs (with receipts and notes), and download receipts alone as a ZIP file. There is no single 'export all workspace data' button — you select reports or expenses on the Spend > Reports / Spend > Expenses pages and export them in batches.

Step by step

  1. 1Go to Spend > Reports (for full reports) or Spend > Expenses (for individual expenses) in the left nav on web or bottom nav on mobile.
  2. 2To export one item: open it and select More > Export. To export several: select the checkbox next to each item (or the top checkbox to select all), then select Selected > Export.
  3. 3Choose an export template: Basic export, All Data - expense level, All Data - report level, Canadian Multiple Tax Export (CAD workspaces only), a Custom template, or Export current view (matches the columns currently shown on the page).
  4. 4Basic export and Export current view download immediately as CSV. All other templates, or any export using 'Select all', are prepared in the background — wait for it or select 'Send me the file when it's ready'; the file arrives via Concierge chat and email.
  5. 5To keep receipts, expenses, and notes together, open More > Download report (single) or select reports and choose Download reports (multiple) to save each report as a PDF.
  6. 6To get just the receipts, open a report or select expenses/reports, then choose Download receipt(s) to get a ZIP of the attached PDF/image receipts.
  7. 7If Excel shows IDs in scientific notation or drops leading zeros, re-import the CSV via File > Import in Excel and set the ID columns to Text format.

What the export includes

  • Basic export CSV: date, amount, merchant, category, and receipt URL per expense
  • All Data - expense level CSV: one row per expense with all available data fields
  • All Data - report level CSV: one row per report with summary data
  • Export current view CSV: whatever columns you currently have displayed on the Reports/Expenses page
  • PDF report downloads: all expenses on the report, attached receipts, and report notes (plus an Approve/Pay button and QR code for Submit-workspace reports)
  • ZIP downloads: PDF and image receipts attached to the selected reports or expenses

What it doesn't include

  • eReceipts and receipts generated from a map location cannot be downloaded — only PDF and image receipt files
  • Deleted expenses are excluded from receipt ZIP downloads even if they had a receipt
  • Custom export templates can only be created in Expensify Classic (not New Expensify), though once created they show up as an option in New Expensify
  • No documented single-click export of full workspace configuration, member lists, chat messages, or integration settings — the docs only cover reports, expenses, and receipts

Before you start

  • Only Basic export and Export current view download instantly; every other template (or any 'Select all' export) is prepared in the background and delivered later via Concierge chat and email
  • If all the expenses you selected are deleted, only the Basic export template is available, since the other templates require an associated report
  • Long report/transaction IDs can appear in scientific notation in Excel, and leading zeros can be stripped — fix by importing the CSV and setting those columns to Text format
  • Refreshing the page during a background export doesn't cancel it — the status window reappears with the current progress when you reopen Expensify
  • The 'Download receipt(s)' option only appears if at least one selected expense/report actually has a receipt attached

Use Expensify's 'All Data - expense level' CSV export, then map its columns (date, amount, merchant, category) to Zoho Expense's CSV import tool under Expenses > Import Expenses.

Export expenses from Expensify as CSV (All Data - expense level), then use Fyle's bulk expense import feature to upload the file; re-attach receipts separately using the receipts ZIP download from Expensify.

Download receipts from Expensify as a ZIP file (Download receipts on the Reports or Expenses page) and re-upload the individual receipt images/PDFs into Wave Receipts, since Wave focuses on receipt capture rather than structured CSV import.

Exporting from Expensify: common questions

Can I export all my Expensify data in one click?+

No. Expensify's export tools work on selected reports or expenses at a time — you use the top checkbox to select all reports/expenses on a page and export those, rather than a single 'export entire account' button.

What file formats does Expensify export to?+

Reports and expenses export to CSV using built-in or custom templates. Full reports can also be downloaded as PDF (with receipts and notes), and receipts alone can be downloaded as a ZIP file.

Do CSV exports include receipt images?+

No, CSV exports include a receipt URL field at most. To get the actual receipt files (PDF or image), use the separate Download receipt/Download receipts option, which downloads a ZIP.

Where does my exported file go?+

Basic export and Export current view download straight to your device. All other templates, and any export done with 'Select all', are prepared in the background and delivered through a Concierge chat message and email.

Can I export Expensify data as JSON?+

The documented export options are CSV, PDF, and ZIP (for receipts) — JSON export is not mentioned in Expensify's help docs.

Why don't I see all the export template options?+

If every expense you selected has been deleted, only Basic export is available, since the other templates require the expense to be attached to a report. Custom templates also only appear if a Workspace Admin has built one in Expensify Classic.
