How to export your data from Calendly

Calendly does not offer a single full-account backup — it provides two separate CSV exports: a Calendar-page export of meeting/invitee data (available to any user on a paid plan) and an Analytics-dashboard export of event data and employee (user) data, which is limited to Owners and Admins.

Formats: CSVPlan: Meeting export (Calendar page): Professional, Standard, Standard Plus, Teams, Teams Plus, or Enterprise (not documented for the Free plan). Step by step

  1. 1Log in to Calendly and go to the Calendar page.
  2. 2Filter the meetings you want in the report by date, team member, event type, etc.
  3. 3In the top right corner, select Export.
  4. 4A CSV file downloads automatically, or you'll receive an email with the file.
  5. 5For org-wide data, go to Analytics in the left sidebar (Owner/Admin only).
  6. 6At the top of the Analytics dashboard, select Export.
  7. 7Choose Event Data or Employee (user) Data — each downloads as its own CSV file.
  8. 8Repeat the Export step for the other data set if you need both.

What the export includes

  • Invitee name, contact details, and time zone
  • Event type, date, and location
  • UTM parameters and Salesforce data
  • Marketing email consent status (for GDPR)
  • Payment details from Stripe and PayPal integrations
  • From Analytics: event data and employee (user) usage data as two separate CSV files

What it doesn't include

  • IP address data for past meetings — Calendly does not provide this
  • Any JSON or API-based export format (only CSV is documented)
  • A single combined account backup — meeting data and analytics data are exported as separate files, not together
  • Scheduling page design/branding, workflow automations, or integration configurations are not covered by these export flows

Before you start

  • The Calendar-page meeting export is filtered by whatever date/team/event-type filters are currently applied, so you need to run it per filter set if you want everything
  • Event data and employee data are two separate CSV downloads from the Analytics dashboard, not one combined file
  • Analytics-based export requires Owner or Admin permissions; regular members can only see/export their own event data
  • The in-app Analytics dashboard only tracks data up to one year back
  • Depending on file size, the CSV may download immediately or arrive later by email instead

Cal.com has no native Calendly-CSV importer for meeting history. Use the exported meeting CSV as a record for your CRM/reporting, and manually recreate your event types, availability, and booking links in Cal.com.

SavvyCal does not import Calendly's meeting-data CSV directly either. Use the CSV to reference past bookings and invitee details while you rebuild event types and availability in SavvyCal manually.

Exporting from Calendly: common questions

Can I export my Calendly data as JSON instead of CSV?+

No. Calendly's documented export options (Calendar page export and Analytics dashboard export) only produce CSV files.

Can I export data on the Calendly Free plan?+

The documented export features are listed under the Professional, Standard, Standard Plus, Teams, Teams Plus, and Enterprise plans, not the Free plan.

Who can export data for the whole team, not just my own meetings?+

Only Owners and Admins can access the Analytics dashboard and export organization-wide event data and employee (user) data.

Does the export include workflows, event type designs, or integration settings?+

No. The documented exports cover meeting/invitee data and analytics data only — there's no export for workflows, page design, or integration configuration.

Will exporting data affect my live scheduling links or bookings?+

No. Exporting is a read-only download and doesn't change or remove any events, links, or account settings.

How far back can I pull data from?+

The Analytics dashboard tracks scheduling trends and data up to one year; the Calendar-page export depends on whatever date range you filter by.
