How to export your data from AppFolio

AppFolio (Property Manager) does not offer a single one-click 'export all my data' button in its published help docs. Instead, data comes out report-by-report: you run a report (rent roll, tenant ledger, financial statements, etc.), filter by property/date, then use the Actions menu to export it to Excel or CSV. Shared statements and documents are downloaded individually as files.

Formats: CSV, Excel (XLSX), PDFPlan: Not specified in AppFolio's public help documentation — export/report access depends on what your property manager or AppFolio admin has enabled for your login, not a documented plan tierRole: Owner Portal / FolioSpace user with 'Reports' enabled on their account, or property management staff with report access in the core AppFolio Property Manager system

Step by step

  1. 1Log in to your AppFolio Owner Portal (or the main AppFolio Property Manager if you're staff) via www.appfolio.com/login-owner or your organization's AppFolio URL
  2. 2Click on the report you want to export by selecting its name in the left column of the Reports tab
  3. 3On the Customize screen, select the property and date range you want (leave blank to include all properties)
  4. 4Click 'Update' to generate the report
  5. 5Once the report loads, click 'Actions' in the top-right options bar and choose Export to Excel or CSV
  6. 6Repeat for each report you need (rent roll, general ledger, tenant ledger, 1099s, etc.) — there is no documented bulk 'export everything' option
  7. 7For shared files, go to the Statements tab and click 'Download Packet' for each statement packet, or go to Documents and click 'Download' next to each file
  8. 8Save all exported files locally before your account access ends

What the export includes

  • Any report data you can run in the portal: financial reports, rent roll, tenant/owner ledgers, etc., exported as Excel or CSV
  • Published statement packets (PDF-style packets), downloadable individually
  • Shared documents (leases, inspection reports, etc.) that your property manager has uploaded, downloadable individually

What it doesn't include

  • A single full-database or full-account export (not documented as a self-service feature)
  • Bank account and payment method details stored for ACH/card payments
  • Underlying system configuration, workflow automation rules, or integration settings
  • Data/documents your property manager or admin has not explicitly shared or enabled in your portal view
  • Report data outside what's visible to your specific login (owner logins only see their own properties/entities)

Before you start

  • Exports are done one report at a time via the Actions menu — there's no documented bulk export button
  • If you don't see the 'Reports' tab at all, AppFolio's help page says to contact your property management company, since it must be enabled for your account
  • Statement packets must be downloaded one at a time via 'Download Packet'
  • AppFolio's help documentation does not publish data retention timelines after account closure — confirm this directly with your property manager or AppFolio support before canceling
  • Owner Portal exports only cover what's been shared/enabled for that specific login; full underlying company data lives in the core AppFolio Property Manager system used by staff, which is not covered by the Owner Portal help docs

Where to take your data

Free and cheaper tools that can take a AppFolio export. See all AppFolio alternatives →

Rentec Direct

Provide your exported AppFolio CSV/Excel reports (tenants, owners, properties, GL) to Rentec Direct's onboarding/migration team, who can help map and import the data during setup

TurboTenant

Use your exported rent roll and tenant CSV to manually re-create properties, units, and tenant contacts in TurboTenant, since it doesn't offer a native AppFolio import wizard

Avail

Re-enter property, unit, and lease details manually using your exported AppFolio rent roll and tenant ledger CSVs as your source data, then set up new leases and rent collection in Avail

Exporting from AppFolio: common questions

Can I export all my AppFolio data in one click before I cancel?+

Not based on AppFolio's published help documentation. Exports are done per report via the Actions menu, so you need to run and export each report (rent roll, GL, tenant ledgers, etc.) individually, plus download statement packets and documents separately.

What file formats does AppFolio export to?+

Reports can be exported to Excel or CSV. Statement packets are downloaded as files (packet downloads), and documents keep their original uploaded format.

Do I need admin access to export data?+

The documented export steps are for the Owner Portal, where any owner login with 'Reports' enabled can export. Staff using the core AppFolio Property Manager system would need report access within that system, which isn't detailed in the Owner Portal help page.

Will my exported reports include bank account or payment details?+

AppFolio's help docs don't indicate this. Report exports cover financial and property data visible in the report itself, not stored payment method details like bank account numbers.

What happens to my data after I close my AppFolio account?+

AppFolio's public help pages reviewed here don't specify a retention or deletion timeline. Confirm this directly with your property manager or AppFolio support before canceling, and export everything you need beforehand.

Can I automate exports out of AppFolio via an API?+

Not covered in the Owner Portal help documentation reviewed. If you need ongoing automated exports, ask your AppFolio account rep whether API or data-feed access is available on your plan.
